TITLE : Manager of Events & Stewardship
REPORTS TO : Director of Development
FLSA STATUS : Exempt
PRIMARY FUNCTION :
The Manager of Events & Stewardship serves as a key relationship and engagement leader within the Boys & Girls Clubs of Toledo (BGCT) advancement operation. This position is responsible for strategically coordinating, executing, and integrating stewardship for fundraising events, donor engagement experiences, sponsor hospitality, volunteer participation, and cultivation activities that support the organization's long-term philanthropic growth.
This role helps ensure that all donor-facing events and stewardship experiences reflect the professionalism, hospitality, mission impact, and community presence expected of a leading youth-serving nonprofit organization.
This individual serves as an important connector between donors, volunteers, sponsors, community partners, and the Mission of the BGCT through thoughtful relationship-centered engagement and disciplined event execution.
The Manager of Events & Stewardship is expected to operate with professionalism, composure, attention to detail, operational discipline, and a strong commitment to donor experience and organizational excellence.
ESSENTIAL DUTIES & RESPONSIBILITIES :
Event Strategy & Execution
  • Lead the planning, coordination, and execution of fundraising, stewardship, cultivation, and community engagement events for the BGCT.
  • Coordinate and manage major organizational events including, but not limited to:
  • TLC Luncheon
  • Barefoot at the Beach
  • donor receptions
  • stewardship gatherings
  • cultivation events
  • sponsor recognition functions
  • community engagement activities
    • Develop and maintain detailed event timelines, budgets, logistics plans, vendor coordination, and operational execution strategies.
    • Assist in identifying and evaluating venues, vendors, and event partners that align with organizational objectives and budget expectations.
    • Coordinate event registration systems, guest communications, sponsor engagement materials, seating coordination, volunteer management, and event-day logistics.
    • Ensure that all donor-facing experiences reflect high standards of hospitality, professionalism, stewardship, and organizational representation.
Stewardship & Donor Engagement
  • Support stewardship activities related to individual, corporate, foundation, and community donors.
  • Assist in coordinating donor cultivation opportunities, personalized engagement touchpoints, recognition strategies, and stewardship experiences.
  • Collaborate with the Director of Major & Planned Giving and Director of Institutional Giving & Communications regarding donor engagement opportunities and relationship strategies.
  • Help maintain stewardship calendars, donor touchpoints, recognition tracking, and engagement follow-up activities.
  • Support donor acknowledgment processes and stewardship communication coordination.
Volunteer & Community Engagement
  • Assist in strengthening volunteer participation and community engagement related to advancement activities and organizational events.
  • Coordinate event volunteers, committee communications, and support functions associated with fundraising and stewardship activities.
  • Support collaboration with Board members, Resource Development Committee leadership, and community stakeholders regarding advancement events and cultivation activities.
Operational Coordination & Advancement Support
  • Maintain organized event documentation, sponsor records, stewardship tracking, and operational reporting.
  • Support advancement operations through disciplined communication, scheduling coordination, and donor/event follow-up.
  • Collaborate with external vendors, designers, photographers, audiovisual teams, caterers, and production partners as appropriate.
  • Assist in maintaining professionalism, organization, and consistency across all advancement-related experiences and communications.
ADDITIONAL RESPONSIBILITIES :
  • Support the Mission, vision, and values of the BGCT in all interactions and professional responsibilities.
  • Participate in organizational activities, special projects, and community initiatives as assigned.
  • Support a culture of collaboration, accountability, stewardship, and operational excellence within the advancement operation.
POSITION REQUIREMENTS :
  • Bachelor’s degree from an accredited college or university preferred.
  • Minimum of 3–5 years of progressively responsible experience in event management, donor engagement, hospitality, nonprofit advancement, communications, or related fields.
  • Demonstrated ability to manage multiple projects, deadlines, and operational priorities simultaneously.
  • Strong organizational, interpersonal, communication, and relationship-building skills.
  • High attention to detail and ability to execute events and stewardship activities with professionalism and consistency.
  • Experience coordinating fundraising events, sponsorship activities, volunteer engagement, or donor-facing experiences preferred.
  • Proficiency with Microsoft 365 and donor/event management systems.
  • Ability to maintain confidentiality, professionalism, and sound judgment in all advancement-related activities.
  • Strong initiative, composure, adaptability, and problem-solving capability in fast-paced environments.
  • Must possess a valid driver’s license.
PHYSICAL & MENTAL REQUIREMENTS / WORK ENVIRONMENT :
  • This is a full-time, exempt position. Work schedule generally includes Monday through Friday business hours with periodic evening and weekend responsibilities associated with events, donor engagement activities, and community functions.
